Job Description:

Key partner to Head of Facilities which may include the following:

  • Works closely with Facilities Services Team
    • Assist with work order processes and coordinate site services vendors.
    • Act as a point of contact for customers and vendors.
    • Provide regular reports to Head of Facilities as directed.
    • Monitor the effectiveness of procedures and processes.
    • Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to the Facility Manager for consideration.
    • Work with team members to ensure all documents are ISO compliant
  • Create/maintain various reports to show progress, budget, schedule, etc.
  • Review reports from various contractors and alert project manager with discrepancies
  • Maintain all documents and photographic documentation in project management database
  • Support in the tracking of change orders from various contractors
  • Support in setting up various meetings with key parties for the project
  • Assemble invoice and change order packages for review and approval by the project manager
  • Advise project manager on adherence to set budgets and project schedule
  • Assist in tracking submittals and RFI’s and alert project manager on any discrepancies.
  • Develop/maintain list of approved vendors to provide services
  • Setup new contractors/suppliers as preferred vendors
  • Maintain/track required documents per ISO & corporate directives for contractors/suppliers
  • Support with deployment of requests for proposal & work with team members to evaluate proposals
  • Support with the setup of new contracts. Work with facility manager, internal counsel, and local attorney to implement
  • Track contract expiration to ensure renewal/ request for proposal is initiated with adequate time
  • Follow proper purchasing procedure when acquiring new services or material
  • Enter purchase requisitions, track against the budget, review select invoices for accuracy and process for payment, & track/maintain expense reports.
  • Maintain and ensure compliance to the catering and meeting protocol
  • Maintain/coordinate meeting room schedule to ensure no double booking
  • Provide complete support with catering, room setup, and special occasions
  • Work with vendors to ensure excellent service is provided
  • Develop/maintain food concept at the RSC (Café, Vending, Coffee)
  • Work with waste & scrap vendors to ensure ISO and corporate compliance
  • Work with multiple teams to coordinate pickups in a timely manner
  • Maintain pickup tickets and work with team to ensure they are up to date and stored in the database.
  • Work with vendors to ensure reports, documents of destruction, & rebates are received
  • Assist other departments when needed to ensure optimum service to visitors, employees, vendors, customers etc. and comply with quality assurance expectations and standards
  • Follow all company, safety and security policies and procedures; report any maintenance problems, safety hazards, accidents, or injuries; complete safety training and certifications.
  • Maintain confidentiality of proprietary information; protect company assets. (i.e. company credit card number).
  • Other duties as assigned by management.

Experience and Skills:

  • Associates Degree or equivalent experience
  • Very proficient in Microsoft Office products including Word, Excel, Outlook and PowerPoint

  • SAP knowledge preferred

  • Excellent verbal and written communication skills

  • Understands the importance of detail and accuracy

  • Able to carry out detailed written or oral instructions

  • Self sufficient

  • Vendor negation skills preferred.

  • Move, lift, carry, push, pull, and place objects weighing less than or equal to 50 pounds without assistance.

  • Stand, sit, or walk for an extended period or for an entire work shift.

  • Read and visually verify information in a variety of formats (e. g., small print).

  • Grasp, turn, and manipulate objects of varying size and weight, requiring fine motor skills and hand-eye coordination.

  • Reach overhead and below the knees, including bending, twisting, pulling, and stooping.

  • Move over sloping, uneven, or slippery surfaces and steps.
