Summary of job contents

Under general direction, performs varied, difficult, sensitive and confidential office administration support for the General Manager and other Regional personnel as necessary.   In addition to filing, typing, scheduling, performs duties such as research and compiling of international and/or domestic data, developing reports, completing any/all projects as assigned.  Deals with a diverse group of important external callers and visitors well as internal contact at all levels of the organization. 

Key accountabilities

  • Provides general administrative support including but not limited to; answering phones, mail distribution, maintaining and ordering office supplies, maintaining local literature, filing; proofreads and checks typed and other materials for accuracy, completeness and compliance with polices and procedures
  • Provides administrative support for Manager, which includes time sheet management, travel arrangements, calendar, event catering and meeting arrangements, meeting agenda and/or document preparation
  • Provides support for department to ensure a high performance, customer service-oriented work environment
  • Collects, maintains and stores data in an organized fashion
  • Responds to requests for information and complaints, refers matters to appropriate staff and/or takes action or recommends action to resolve the request or compliant
  • Reviews, determines the priority and routes incoming correspondence, reports, requests and instructions; handles or refers matters as directed
  • Follows principles of 5S
  • Acts a liaison in coordinating matters between the General Manager’s office and other department heads and managers
  • Receives telephone calls, providing information and handling issues that may require sensitivity and use of sound, independent judgment
  • Other tasks and responsibilities may be assigned as required.

 Core dimensions

  • Interacts with various levels of employees both in the corporate offices the field and internationally, and conducts themselves in a professional manner. 

  • Knowledge and some experience of other roles within department to provide “back-up” as needed.

  • Collects and maintains data and prepares reports or charts utilizing appropriate software based on direction of Management personnel.

     

Experience and Skills:

  • High School Diploma and/or business schooling
  • Minimum 6 years executive/administrative office related experience; 5S; Business Communication in various mediums; 
  • Expert level skills in Powerpoint, MS Excel and Word
  • Looking for someone who is extremely organized, detail orientated and flexible to daily demands.
  • Strong oral and written communication skills.
  • Working knowledge of SAP systems is a plus.
